AI automation for small businesses

AI pays off for a small business where staff answer the same questions every day and sort enquiries by hand. The studio sets up chatbots, enquiry triage and content generation — starting with a small pilot and being upfront about the limitations.

What can be automated

Good candidates are tasks done the same way every day: a salon answering questions about prices and free slots, a building company sorting quote requests, an online shop writing product descriptions in three languages.

  • a website chatbot that answers from your own information — services, terms, delivery, lead times, opening hours;
  • incoming enquiries sorted by topic, urgency and language and forwarded to the right person in Telegram or by email;
  • draft replies to routine emails, sent by a person after review;
  • content generation in the admin panel: product and service descriptions, draft translations;
  • integrations with spreadsheets, CRMs and online booking so data is not copied by hand.

Start with a pilot

Instead of a large system from day one, one time-consuming process is chosen and run for a limited period. Success criteria are agreed up front — for example, the share of questions the bot answered without staff, or the time from enquiry to reply.

During the pilot, someone on your team reads the bot’s answers and flags mistakes, and the knowledge base is improved before the solution runs on its own. At the end you can see whether to expand, what to fix and where AI is not needed at all. That is cheaper and more honest than rolling everything out at once.

How the chatbot answers from your data

The bot does not “know everything”. It works from a knowledge base: your website pages, price list, booking and delivery terms and answers to frequent questions. If the answer is not there, it says so plainly and offers to take an enquiry so a member of staff can reply.

The bot replies in English, Estonian and Russian — in whichever language the visitor writes — and always makes clear that the visitor is talking to AI. The EU Artificial Intelligence Act requires this, and it is simply good practice. Complex or sensitive cases are handed to a person.

Personal data and GDPR

  • the AI service is chosen with a data processing agreement in place and clarity on where data is stored and whether it is used for model training;
  • the model receives as little personal data as possible — no personal ID codes, health data or bank details;
  • chat logs are kept for a limited period stated in your privacy policy;
  • visitors know they are talking to AI and can ask to be contacted by a person.

The honest limitations of AI

Language models sometimes make mistakes in a confident tone. That is why the bot gives no medical, legal or financial advice, and why email drafts and website copy are checked by a person.

AI does not replace staff who know your customers, and it does not fix messy processes — the process is described first, then automated. The knowledge base must be updated whenever prices or terms change. Answers in Estonian are reviewed separately: models make more mistakes in smaller languages than in English.

What affects the cost of AI automation

  • how many processes are automated and how unusual they are;
  • the size of the knowledge base and how much of it must be written from scratch;
  • integrations with CRMs, spreadsheets, email and messaging apps;
  • the volume of requests to the language model — usage is billed by volume as a separate line.

Pricing

The cost depends on the scope

Starting prices are shown on each service page and on the Pricing page. The exact cost depends on the scope — languages, sections, payments, booking — and is worked out for the task and fixed in the quote and the contract before work starts.

Describe the task

What the site has to do, who it is for and what takes up your time today. A reply comes within 24 hours — with clarifying questions or a preliminary estimate of cost and timing.

Quote and deadline in the contract

What is included, for how much and by when is fixed before the work starts. The price does not grow along the way: new large sections are priced separately and in advance, not on the invoice.

Monthly maintenance

Hosting, certificate, platform and security updates, backups and small edits — a separate monthly line in the quote. Domain renewal is paid to the registrar unless the contract says otherwise. If you decide to leave, you take the content as an archive and the domain, which is registered in your name.

FAQ

Frequently asked questions

Will the bot make up answers?

Every model carries that risk, which is why the bot is limited to your knowledge base and says plainly when it does not know. During the pilot, answers are checked by hand and gaps in the knowledge base are filled.

Do visitors have to be told they are talking to a bot?

Yes. The EU AI Act requires that people are informed when they interact with an AI system. On studio-built sites this is visible straight away in the chat window.

Can the chatbot be added to a website not built by the studio?

In most cases, yes, through an embeddable widget. How far it can integrate with your enquiries and admin depends on the platform and is confirmed before work begins.

Where does chat data go?

To the chosen AI service under a data processing agreement, and into the site’s chat history for a limited period, where your staff can see what was asked. The exact data and retention period are set out in your privacy policy.

How long does a pilot last?

The length and success criteria are agreed in advance and depend on your enquiry volume: a fair assessment needs enough real questions.

Can the automation be switched off if it doesn’t work out?

Yes, at any time. Your website and enquiries carry on as before, and you keep the knowledge base as a text document.

Where do you start if it is unclear what to automate?

Describe what your staff spend time on every day: which questions repeat, where enquiries come from, what gets copied by hand. From that list, the studio will suggest a process for a pilot — or tell you honestly that AI is not needed.
